How to add an email signature in Gmail and Outlook

Gmail: Settings → See all settings → General → Signature → Create new, then paste. Use "Copy signature" rather than "Copy HTML source", Gmail wants the rendered version.

Outlook (desktop): File → Options → Mail → Signatures → New, then paste. Outlook on the web: Settings → Mail → Compose and reply → Email signature. Apple Mail: Mail → Settings → Signatures, and untick "Always match my default message font" before pasting or it will strip the styling.

What to leave out

Remote images. Social icons, logos and banners are hosted images, and Outlook and most corporate mail clients block those by default, so recipients see grey boxes instead. Text links survive everywhere, which is why this tool uses them.

Long legal disclaimers, inspirational quotes and "Sent from my iPhone" style lines. They add weight to every reply in a thread and get quoted back dozens of times in a long conversation.

Animated GIFs. They inflate message size, are stripped by several clients, and can push a cold email toward the spam folder because image-heavy mail with little text is a known spam signal.

Signatures and deliverability

A signature affects whether your email arrives, not just how it looks. Image-heavy signatures raise your image-to-text ratio, tracking pixels bundled by some signature services get flagged, and link shorteners in a signature are a well-known spam trigger.

What should a professional email signature include?


Your full name, job title, company, and one reliable way to reach you. Add a phone number, website or LinkedIn only if you actually want replies there. Four to six lines is the sweet spot, anything longer gets clipped by Gmail and looks cluttered on a phone.

How do I add this signature in Gmail?


Click "Copy signature", then in Gmail go to Settings → See all settings → General → Signature → Create new, and paste. Gmail keeps the formatting because the tool copies the rendered signature, not the HTML source.

How do I add an email signature in Outlook?

What is the best font for an email signature?


Stick to a web-safe font: Arial, Helvetica, Georgia or Verdana. Anything else gets substituted by the recipient's email client, which can break your spacing. Keep the body at 13-14px and your name at 15-16px.

Can I put social media icons in my email signature?


You can, but the icons have to be images hosted on a public URL, and several corporate email clients block remote images by default, so the icons vanish and leave broken boxes. This generator uses text links (LinkedIn, X) instead, which render everywhere.
